Your Complete Checklist for Switching to a Digital Menu

Making the Switch: Easier Than You Think
Switching from a paper menu to a digital one can feel like a big project, but in practice most restaurants complete the transition in a single afternoon. The key is knowing what to do in the right order.
Use this checklist to guide your switch.
Before You Start
☐ Gather your current menu Have your most recent paper menu or digital file ready. You will use it as the basis for your digital menu, so you do not have to remember everything from scratch.
☐ Decide on your menu structure Think about your categories: Starters, Mains, Desserts, Drinks — or whatever makes sense for your restaurant. A clear category structure makes the digital menu easier to navigate.
☐ Take or gather photos of your dishes You do not need professional photography, but clear, well-lit photos of your key dishes make a huge difference. Even a modern smartphone in good light is enough. Prioritize your signature and high-margin items.
☐ Prepare allergen information For each dish, note which allergens are present (gluten, dairy, nuts, eggs, etc.). Digital menus make allergen display easy, but you need the information ready.
Setting Up Your Digital Menu
☐ Create your menuapp24 account Sign up for free — no credit card needed. The free plan is enough to get started.
☐ Set up your restaurant profile Add your restaurant name, logo, and colors. A branded menu looks professional and builds guest trust.
☐ Choose your menu theme menuapp24 offers several clean, professional themes. Pick one that fits your restaurant's style — casual, fine dining, café, etc.
☐ Add your menu categories Create your category structure (e.g., Starters, Mains, Desserts, Drinks) before adding items — it is easier to organize as you go.
☐ Add each menu item For each dish: add the name, description, price, photo, and allergen tags. Work through one category at a time. Most restaurants complete this in 1–2 hours.
☐ Set your language preferences If you serve international guests, enable additional languages. menuapp24 supports 7 languages — English, German, Spanish, French, Italian, Russian, and Turkish.
☐ Preview your menu Before going live, preview your menu as a guest would see it. Check that categories, items, photos, and prices look correct.
Going Live
☐ Generate your QR code menuapp24 generates a QR code for your menu automatically. Download it in high resolution.
☐ Print and place your QR codes Print QR codes for each table (table tent cards or small stickers work well). Also place one near the entrance or on the window so guests can see it before sitting down.
☐ Test the QR code Scan it with your phone (and ideally a colleague's phone) to confirm it loads correctly and looks good on mobile.
☐ Update your online presence Add your menu link to your Google Business Profile, Instagram bio, Facebook page, and website. This extends your menu's reach beyond the restaurant.
Training Your Team
☐ Show your staff how the menu works A 5-minute walk-through is enough. Show them how to mark items as unavailable and how to explain the QR code to guests who are unfamiliar.
☐ Prepare a brief guest explanation For guests unfamiliar with QR menus, train your staff to say: "Just point your phone camera at this code and your menu will open automatically — no app needed." Most guests will not need even that.
Announcing the Change
☐ Post about it on social media Share your new digital menu on Instagram, Facebook, or wherever your audience is. Include a photo of the QR code on the table and your menu link. It is an easy, genuine post that shows you are investing in your guests' experience.
☐ Retire your paper menus Once you are confident your digital menu is live and working, set the paper menus aside. You can keep a few for guests who genuinely prefer not to use a phone.
